Price Information
- Quotations are made in EURO
- The rate includes accommodation, breakfast and City Tax.
- The rates are valid for the year 2025. In the event of an increase in local VAT, the rate will be adjusted accordingly.
- No VAT accounted, Tour Operator Margin Scheme Supply Art. 306-310 Council Directive 2006/112/EC.
Cancellation terms
Free cancellation is available according to the following schedule:
- 50% of the booked room allotment per day until 5th December 2024
Exception: 6th November 2024: Hilton Milano.
- 20% of the booked room allotment per day until 6th February 2025
Exception: 7th January 2025: Hilton Milano.
- 10% of the booked room allotment per day until 7th April 2025
No more reductions possible: Hilton Milano.

- Additional cancellations and/or non-arrivals will be charged with the full amount. INTERPLAN tries its utmost to re-sale any late cancelled room to keep the costs for the participants as low as possible. In case of a successful re-sale INTERPLAN will refund any overpaid amount deducted by an administration fee of € 40 net per re-sold room night. - All bookings made after the mentioned dates for free cancellation are automatically binding.
- All late cancelled rooms are subject to 100% cancellation fees, which are charged for all cancelled room nights. Non-arrivals or No-Shows are handled as cancellations.
Group Administration Fee
- For bookings up to € 25.500 calculated total amount, a flat-rate group handling fee of € 380 applies.
- For bookings from € 25.500 calculated total amount, a fee of 1.5% of the total amount applies.

In the event of cancellation, the administration fee will be retained.
Payment
Full pre-payment is required. Payments shall be carried out by bank transfer according to the following schedule:
- Upon contract signature.
- Changes to block will be invoiced and due immediately by time of booking.

What is the limit of rooms for a group booking?
Group bookings apply if 4 or more rooms are required. For further information, please see “Group Booking / Terms & Conditions”.
Are the quoted rates per night and do they include breakfast?
Rates are including breakfast per person & per day as well as City Tax according to Italian regulations.
We do have specific room requests (disabilities, family room, twin bed etc.). Whom shall we contact?

Is Interplan the only agency offering hotel accommodation for the EHA Congress?

I have called the hotel and they say they do not find my booking?
The hotel receives all guest names approx. 2 weeks ahead of arrival from INTERPLAN. If you wish to amend your booking, please contact INTERPLAN at ehahotel@interplan.de or use your personal access for your group hotel portal (immediately after booking).
By when do we need to communicate our guest names and final arrival/departure dates? Can we hand in an excel sheet?
Traveler names must be uploaded via INTERPLAN´s Group Accommodation Tool no later than 4 weeks prior to arrival. After that date, name changes will be still possible via the Group Accommodation Tool.
INTERPLAN will provide login details after the receipt of full payment. All booking changes must be handled through this tool.
Who is to be contacted for corporate sponsor options in the booked hotel?
We kindly ask for your understanding that sponsor promotions are not permitted at the EHA Headquarter hotel. We therefore ask you to refrain from placing any flags, banner and posters at the EHA Headquarter hotel. For promotional activities in all other hotels, please contact the hotel directly.
We would like to cover extra charges for our guests like mini bar, parking, restaurant, Wi-Fi, telephone.
All extras have to be paid upon departure directly at the hotel. The hotel may accept a company credit card for all extra costs.
Who shall we contact for Visa application requests?
Visa enquiry is upon request, INTERPLAN will issue individual confirmation letters for those travelers needing to apply for a Schengen Visa. The letters can be produced only after uploading the respective names. Please send the system´s booking ID via Email to ehahotel@interplan.de. The letters are usually sent within 2-3 working days.
